The short version

We collect what we need to run PropertyGuard and nothing else. We do not sell your data. We do not use it for advertising. You can export or delete your account at any time. Inspection records are retained for legal/compliance reasons even after account deletion (de-identified after the retention period).

Scope & who we are

PropertyGuard is a property management and inspection platform operated by Teal Apex Group LLC, a business registered in the United States ("we," "us," "our"). This Privacy Policy applies to:

  • The PropertyGuard website at tealapexgroup.com and any subdomains.
  • The PropertyGuard mobile applications for iOS and Android.
  • Any related APIs, support channels, and customer communications.

By using PropertyGuard, you agree to the practices described in this policy. If you do not agree, please do not use the service.

Geographic scope

PropertyGuard is currently offered only to residents of the United States and Canada: the service is not directed to, and is not available for, residents of the European Economic Area, the United Kingdom, or other jurisdictions. If you access the service from outside the U.S. or Canada, you do so on your own initiative and are responsible for complying with local law.

  • Payment processor (Stripe): confirmation of successful payment and billing status.
  • Email delivery (Postmark / Resend): delivery and bounce reports.

How we use information

  • Provide the service: authenticate users, sync property and inspection data, generate PDF reports, deliver notifications.
  • Secure the service: detect fraud, abuse, and unauthorized access; enforce our Terms.
  • Support & communicate: answer your questions, send service updates, and (with consent) product news.
  • Improve PropertyGuard: diagnose crashes, measure feature usage in aggregate, prioritize the roadmap.
  • Comply with the law: respond to lawful requests, enforce contracts, defend legal claims.
What we do NOT do

We do not sell your personal information. We do not share it with advertising networks. We do not use your photos, inspection content, or messages to train AI models. We do not use third-party tracking SDKs for cross-app advertising or tracking. Consistent with Apple's App Tracking Transparency (ATT) policy, PropertyGuard does not request permission to track you across other companies' apps and websites.

When we share information

We share information only in the limited circumstances below:

  • Within your account. Property managers see data for their portfolio. Tenants see data for their unit. We do not expose tenant data to other tenants.
  • Service providers (sub-processors). Vendors who run infrastructure under contract with us. Current sub-processors:
    • Supabase: database, authentication, file storage (US region)
    • Stripe: payment processing
    • Apple & Google: push notifications and crash reporting (APNs, FCM, Apple Crash Reports, Google Play Console)
    • Postmark / Resend: transactional email delivery
    • Cloudflare: content delivery and DDoS protection
  • Legal & safety. When required by valid legal process, or to protect rights, property, or the safety of users or the public.
  • Business transfers. If Teal Apex Group is involved in a merger, acquisition, or asset sale, your information may transfer as part of that transaction; we will notify you and your rights under this policy will continue.

Retention & deletion

We keep information only as long as needed for the purposes described, then delete or de-identify it.

  • Active account data: kept while your account is active.
  • Inspection records: retained for seven (7) years after the inspection date to support landlord and tenant legal claims, tax records, and habitability disputes. After this period, records are permanently deleted.
  • Backups: encrypted backups roll off after 35 days.
  • Account deletion: when you delete your account, profile, payment, and non-inspection content are deleted within 30 days. Inspection records governed by the 7 year rule above have all manager and tenant identities, email addresses, and contact details removed (de-identified); only property address and inspection metadata may persist if a co-manager or property owner on the same record still has an active account. You can request complete deletion of inspection records when no other user on the property has an active account by emailing tealapexgroup@gmail.com.

You can request export or deletion at any time at tealapexgroup@gmail.com or in-app under Settings → Account → Export / Delete.

Security

  • All connections use TLS 1.2+ in transit.
  • Data at rest is encrypted (AES-256) in our database and object storage.
  • Passwords are hashed with bcrypt; we never see your plaintext password.
  • Row-level security policies enforce that each user can only read their own records.
  • Production access is limited to a small number of authorized engineers under MFA.
  • We log administrative actions and review access on a quarterly basis.

No system is perfectly secure. If we discover a breach affecting your data, we will notify you and applicable regulators in line with state and federal law (typically within 72 hours of confirmation).

Your rights (U.S. & Canada)

Depending on where you live, you may have the right to:

  • Access: request a copy of the personal information we hold about you.
  • Correct: fix inaccuracies.
  • Delete: request deletion (subject to legal retention).
  • Port: receive your data in a machine-readable format.
  • Object / restrict: opt out of certain processing.
  • Opt out of "sale" or "sharing": under the CCPA. We do not sell or share for cross-context behavioral advertising, so this is moot, but the right is preserved.
  • Withdraw consent: for any processing based on consent, at any time.
  • Lodge a complaint: with your local data protection authority.

To exercise these rights, email tealapexgroup@gmail.com. We will respond within 45 days. We will not discriminate against you for exercising your rights.
